Telehealth is both a platform and a strategy to extend quality health care to those near and far. The MCG Center for Telehealth is the bridge connecting the resources of a state-wide medical school and an academic medical center to those who have health care needs including the consumer and the provider. The Center is a health care connectivity resource for all of Georgia bringing Patient Care, Research and Education to new locations and populations through our academic missions and service platforms.
Job Summary This position will support the Director and the health system Assistant Vice President of Virtual Care and Community Engagement in the MCG Center for Telehealth with direction from the Director of Virtual Care and Community Engagement. The Administrator will facilitate the business operating needs to support the development of a center to facilitate the delivery of patient care through Telehealth through research, education, advocacy, and clinical operations across the state of Georgia. Initiatives will include training and education offerings across the State of Georgia to increase provider and patient participation in these service platforms, increase virtual care rural network to enhance and improve rural outcomes and reduce health disparities through telehealth research and state-wide telehealth education. The center will work closely with internal and external customers to identify and coordinate provider service needs to enhance state-wide collaborations and improve patient access to quality healthcare across the state. This position will provide and ensure customer-friendly service.
Responsibilities The duties include, but are not limited to: ADMINISTRATION Assist in the identification of resource needs for MCG Center of Telehealth.
Manage complex projects in alliance with the center.
Facilitate Human Resource submissions in compliance with AU policies and procedures, preparing of Position Classification Forms for faculty and staff (reviewing funding, etc.). Prepare, route submit for position numbers, budget approvals; preparing critical hire, job postings, review applicants, job offers, degree verifications, drug screenings, moves, etc.
Supervise administrative staff; has the authority to make a variety of personnel decisions, such as hiring, evaluating performance, salary increases, mediate issues, promotions and terminations, evaluate staffing patterns and assist supervisors on aspects of personnel management. Ensure that staff is provided within the center; assign and review work of office staff; counsel employees to resolve problems.
Train new and current staff on division business processes, specific job duties, as well as AU, Wellstar MCG health policies and procedures. Manage the OneUSG systems for all leave, approving all leave for center staff.
Oversight of data dissemination for operational, educational, and research objectives; includes facilitation and management of multiple data sources.
Support supervision of clinical operations as directed by the program's senior leaders. Supervision responsibilities will evolve as Center and Health System virtual care activities grow.
Interact frequently with internal and external stakeholders.
Oversight of onboarding of faculty working with the Center for patient care and research.
Facilitate purchasing activities within AU and Wellstar MCG Health per AU and Wellstar MCG Health policy.
Develop and maintain departmental internal business controls to comply with AU/MCG policies and procedures.
Develop internal controls to ensure the center's faculty are prepared for the promotion and tenure process.
Oral and written communications with internal and external stakeholders.
Contract initiation, routing, and renewals.
Establish, implement, and manage operating policies for the Center regarding education, and research.
Capital Asset and Computer Inventory; manage equipment inventory state property.
Represents the organization positively and confidently. Creates a climate that fosters personal investment, customer service, clinical and performance excellence. Demonstrates leadership, versatility, and promotes collaboration and teamwork. Works in close cooperation with members of the organized medical staff and other hospital personnel to ensure all credentialing is complete for providers.
Initiates, facilitates, and participates in performance improvement/quality improvement programs in the Center as directed.
Supports the center to develop and maintain physician and provider performance.
Supports the center to facilitate processes to measure and report the center's goal achievement status.
BUDGET Responsible for budget development, supervision and management of the department's operating revenues and expenditures.
Support of clinical operational functions regarding budgeting and financial activities including inventory, equipment procurement and distribution, and supply management.
Monitor needs to adjust budgets and ensure operating expenses are within funds available.
Manage and maintain a balanced budget throughout the fiscal year across various fund source types.
Monitor staff and faculty salary distributions to ensure consistency with funding and effort commitments for effort directed to Center grants and/or contracts. Coordinate with faculty home departments to adjust any inconsistencies.
Monitor all grant expenditures.
Budgeting activities within AU and health system systems is required. This will include multiple budgets across different budgeting software programs and different organizational structures and processes.
CLINICAL Manage day-to-day budgeting and financial activities under the direction of the Director of Telemedicine for the MCG Center of Telehealth and AU Health virtual care operational cost centers. AU fund sources include state allocations, foundation, contracts, grants, and sales accounts.
Management to ensure contractual and sales account activities are well-managed and that necessary processes are in place to deliver the services and balance these accounts.
Oversee scheduling of clinical providers and ensuring appropriate time recording is kept for faculty and staff
EDUCATION In collaboration with the program's senior leaders this position provides appropriate infrastructure to support continued excellence in all telehealth education to the MCG student, resident, fellow, clinical faculty level, etc.
Coordinate state-wide center outreach educational activities
Support the center's need to build and maintain collaborations across all MCG campuses and MCG's partner academic health center to connect patient populations to academic healthcare resources.
Develop, implement, and manage initiatives targeted to meet institutional, center, and state-wide goals for the telehealth educational program. Collaborate and coordinate with rural hospitals and MCG programs regarding state-wide telehealth rotations, scheduling of learners (medical students, residents, fellows), evaluations, certifications, etc. ensuring alignment of rural telehealth education across the state.
RESEARCH AND GRANT MANAGEMENT Facilitate grant submissions as directed to include pre-award (grant identification, grant writing process, routing and regulatory), award (budget management, equipment procurement, inventory and tracking, data management) and post-award (reporting and working with university sponsored accounts).
Coordinate dissemination of research at regional, national, and international meetings/conferences.
Manage research submissions to journals for publication.
Generate internal budget based on salaries, supplies, travel, and equipment for all Principal Investigators submitting extramural/intramural grants.
Work closely with faculty to determine FTE (based on current funding) for grant submissions: generate and prepare budgets for various agencies.
Route internal budget through eSproute for approvals.
Generate grant files in Assist, Workspace, eBRAP, grants.gov, era commons.
Maintain training files, current biosketches, CVs for all research personnel.
Complete all administrative portions of grants, upload grant files; review grant files based on criteria for fonts, spacing, etc.
Work with Sponsored Administration to make corrections, etc. prior to submission.
Prepare, other support for Just-in-time information.
Work with Sponsored programs prior to submissions.
Maintain research calendar to prompt submissions, report submission and grant related tasks.
Draft progress reports for administrative review.
Initiate RPPR progress reports in Commons, enter administrative sections, calculate TE for PI, Co-Investigators, personnel, and report on RPPR.
Monitor active research projects to maximize extramural funding while ensuring ongoing compliance with institutional, state, and federal guidelines.
Required Qualifications Bachelor's degree from an accredited college or university with five years' experience in a management level role.
Knowledge, Skills, & Abilities Proficient in Microsoft Office and other computer software/databases.
SKILLS Detail-oriented with excellent interpersonal, written, and verbal communication skills.
ABILITIES Ability to maintain confidentiality. Candidate should be capable of self-direction and have a background which allows them to contribute to the establishment and growth of this new Center.
Shift/Salary/Benefits Shift: Days; Monday - Friday (Work outside of normal business hours may be required).
Salary Minimum: $109,500-$120,000 annually.
Pay Band: B17
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
