Assistant Office Administrator Location Brenham, TX :

TITLE: Assistant Office Administrator

DEPARTMENT: Administration

REPORTS TO: Office Administrator

CLASSIFICATION: Non-Exempt - Part Time

JOB SUMMARY:

Will provide on-site administrative support. This role is integral in ensuring the smooth functioning of our office and supporting various departments, including finance, HR, and program management. The Office Assistant will work closely with the staff and management team to facilitate essential office tasks and maintain an organized and productive workspace.

ESSENTIAL JOB RESPONSIBILITIES:

1. Administrative Support:

  • Handle mail, email, and phone reception.
  • Maintain office supplies and equipment.
  • Serve as the front desk receptionist.
  • Manage donor information and send Thank You letters.

2. Financial Management:

  • Code expenses and income.
  • Assist with financial reporting.

3. Data Management and Technology:

  • Maintain the organization's website and online calendar.
  • Support program registration and attendance tracking.

Internal: Maintains close, daily contact with Office Administrator to receive/provide information, discuss issues, understand priorities for day / week; VP of Operations to understand current / forecasted needs, support needs and any issues or circumstances to be aware of within the Club, staff or members

External: Maintains contact with members, families, donors, vendors and on behalf ofExecutive Director, VP of Operations or Office Administrator

SKILLS/KNOWLEDGE REQUIRED:

  • High school diploma or equivalent. Additional education or training in office administration is a plus.
  • Previous office or administrative experience is preferred but not required.
  • Strong interpersonal skills.
  • Highly organized and detail oriented.
  • Experienced and skilled with finance and budgeting.
  • Proficient with Microsoft 365 Office Suite.
  • Ability to learn new computer programs.
  • Strong online skills.
  • Dependable and punctual.
  • A commitment to the mission and values of the Boys & Girls Club of Washington County.
  • Excellent written and verbal communication skills
  • Strong administrative and organizational skills
  • Able to manage multiple priorities and be attentive to details.
  • Able to maintain strict confidentiality.
  • Knowledge of desktop publishing, basic computer applications and social media channels
  • Knowledge of accessing and managing donor database

Working Conditions:

This is an on-site position, and the Office Assistant will work at the Boys & Girls Club of Washington County's office located at 1710 E Tom Green St, in Brenham, Texas. Computer and all necessary equipment is provided. Training will be provided for all programs, protocols and procedures currently used with the organization. The position is part-time, requiring 25 hours per week, with some flexibility in hours.
