A national Fortune 500 company is looking for an Executive Assistant to support the new CEO of a key business unit. The role is hybrid-3 days in office, 2 days remote (plus remote when the CEO is traveling. The unit is fast-paced, positive and has a collaborative team environment. The office is near Penn Station. Company headquarters are in the Midwest. The business unit has 1600 employees. The parent company has 350,000 employees.
About the Job:
¨ Vet and prioritize the CEO’s emails
¨ Effectively communicate with C-suite executives, their executive assistants and colleagues while building effective relationships and operating as a team player
¨ Manage the CEO’s calendar and meeting scheduling, exercising judgement to ensure conflicts are prioritized effectively
¨ Be a workflow manager by knowing when deliverables are due and deadlines are met
¨ Proactively reach out to colleagues across the organization to obtain necessary information and materials
¨ Plan onsite and offsite meetings with internal and external stakeholders, and manage logistics, including schedules/agendas, addressing technology requirements, virtual meeting links, meeting materials, catering, etc.
¨ Handle sensitive and confidential information with the utmost of discretion
¨ Answer incoming requests for information; build knowledge base to be able to share answers or make the appropriate connections elsewhere
¨ Prepare and edit correspondence, reports, and presentations and other documents
¨ Handle confidential and sensitive information with discretion
¨ Screen incoming phone calls delivering detailed, timely messages to the appropriate parties
¨ Maintain an ever-changing calendar
¨ Schedule internal and external meetings
¨ Coordinate complex travel arrangements including flights, cars, hotels, and other reservations and prepare detailed travel itineraries
¨ Process expense reports
¨ Assist in addressing general policy and procedure issues
¨ Provide occasional support to other members of the executive team as needed
¨ Some Off-hour availability required
About You:
¨ Minimum of 7 years of experience in a related support position
¨ Experience at a Fortune 500 firm a plus (or large scale national or global firm)
¨ BA/BS from a college or university a plus
¨ Background in financial services a plus
¨ Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
¨ Dynamic and proactive comfortable in a fast-paced environment.
¨ Polished, professional demeanor
¨ Proactive go-getter; no task is too big or too small
¨ Outstanding communication skills
