JOB SUMMARY: Provide administrative support to the Division Office, Studio, and Office Manager. Facilities management and other admin responsibilities for the division.
Essential Duties And Responsibilities Studio Coordinator - Schedule and confirm appointments. Add available appointments for the month to the calendar
- Enter studio final dates in HB1
- Enter scheduled appointments into lead generation software
- Deliver hot sheets to consultants. Send out email for missing hot sheets to sales agents.
- Send Welcome Emails to scheduled customers
- Keep studio stocked with supplies (i.e. water, snacks, paper, etc.)
- Keep storage room organized
Administrative/Facility Duties - Keep studio stocked with supplies (i.e. water, snacks, paper, etc.)
- Keep studio and division office storage rooms organized
- Order promotional materials as requested by department heads
- Order and maintain office supplies and stock for all office and field employees
- Process and distribute all incoming mail, and coordinate overnight packages
- Sort and process office maintenance/services, supplies, and equipment invoices
- Process check requests for payments
- Manage postage machine and replenish postage meter fund
- Order coffee and water deliveries for office, studio and field offices
- Disburse memorandums and emails relating to office procedures, reminders, luncheons, and office events
- Schedule luncheons and conference rooms for meetings, schedule and coordinate offsite division meetings
- Coordinate Janitorial for division office & studio, with assistance with models as needed
- Coordinate with property management company to perform building maintenance requests
- Distribute expense/mileage checks from accounting, payroll check vouchers.
- Coordinate shredding services for office, studio and field
- Order Business Cards as appropriate
- Copy and distribute Business Plan
- Create and distribute monthly birthday announcements
- Receive voicemails and distribute accordingly
- Coordinate and manage all office equipment maintenance
- Complete Vendor Request Forms for all employees and Frozen Vendors
- Assist all Field employees with maintenance
- Maintain and update legal and safety posters for main office and construction offices
- Participate in division committee for planning employee events and activities
Administrative Duties - Assist office employees with extra workloads as needed
Education/Experience/Minimum Requirements Education - Minimum high school diploma or equivalent
Experience - Must have at least 1-2 years of administrative experience in professional environment
Knowledge, Skills & Abilities - Strong verbal and written communication skills
- Multi-task oriented
- Strong organizational skills
- Must be proficient in Microsoft Office
- Sense of urgency and bias for action is essential
- Ability to work well under pressure and consistently meet deadlines
- A solid understanding of confidentiality and possess the ability to maintain extreme confidentiality on dealing with sensitive corporate issues.
- Exceptionally polished and professional
- In office 5 days a week, with work hours from 8AM to 5PM with the flexibility to work additional hours as necessary.
