The Role:
As we continue to grow, we are seeking a part-time to full-time team member to join us in this critical role. You will play a vital part in creating a positive first impression for our clients, contributing to our acquisition and retention efforts.
You must be comfortable engaging in extended conversations with potential clients, both in person and over the phone, as well as handling payments and discussing the value of our services. Please apply only if you are at ease with these types of financial discussions.
Joining our team means you will be instrumental in connecting our motivated clientele with top-notch holistic physical therapy care. You will receive extensive mentoring and training to enhance your customer service, hospitality, business, sales, and personal growth skills.
The Tasks:
- **Customer Service & Hospitality:** Build strong relationships with patients and prospective clients. Provide a warm welcome and ensure a 5-Star Experience in our waiting room, creating an environment that patients will look forward to returning to. Communicate with warmth and genuine care through all interactions. Support clients in their healing journey by listening, encouraging, and providing the necessary support. Develop a nurturing style that encourages client engagement with our services.
- **Acquisition:** Conduct in-depth conversations with new patients over the phone, lasting 15-20 minutes or longer, to understand their goals and emotional drivers. Communicate how we can assist them, determine if they are a good fit for our practice, and ensure they are excited and committed to starting their care. Prepare them for their first visit and ensure they understand our exceptional level of service. Maximize word-of-mouth referrals by requesting Google Reviews and utilizing in-house marketing systems, such as sending handwritten thank-you notes and promoting our Referral for Reward program. Prepare welcome gifts for new and prospective clients.
- **Retention:** Follow up with patients via phone to ensure satisfaction, prevent potential drop-offs, and reactivate past patients with special offers. Manage scheduling, payments, and our waitlist. Communicate with patients before and after appointments to ensure satisfaction.
- **Sales:** Articulate the value of our services and explain our unique approach and why our services are worth the investment. Handle price objections professionally. Assist with the sales of orthotics and other therapy self-treatment tools. This role does not involve cold calling.
- **Other:** Develop and maintain a procedures library to document all aspects of your role, ensuring that anyone else in the business can perform them.
- **Most Importantly:** Make people feel better just by talking with you. Everyone deserves to feel seen, heard, and cared for.
Skills/Competencies Needed:
- Ability to hold meaningful conversations with prospective patients over the phone for 15-20 minutes or longer (empathy)
- Answer all questions in a way that increases the likelihood of converting callers into customers (insightful and knowledgeable)
- Provide a warm and welcoming greeting to patients, recalling names, faces, and personal details to make them feel valued and remembered (patient experience)
- Comfortable following up with people through various channels: phone, text, email, direct mailings, and even customized videos (communication)
- Plan, organize, schedule, and budget time efficiently, focusing on key priorities (organization and planning)

Compensation for this Role:
- Competitive Full-Time or Part-Time pay available ($20-$25/hour depending on experience and skill level) with some benefits. Opportunity for increased pay and career advancement.
Hours:
- Ideally 20-40 hours/week, open to hiring a candidate looking for 20+ hours/week. Option to begin part-time and work up to full-time as well.
Location:
- Delafield, WI
- This position may also include some remote/work from home opportunities.
